- The Sample ID format for orders placed by a Harvest
Webstation user is based on the workgroup setting for Harvest Webstation
users in Harvest. See Configuring Harvest Webstation: Modifying Program Preferences.
- If the workgroup Sample ID format is anything other than UNFORMATTED,
the Sample ID will appear as "[To Be Assigned]" on the Order
Samples: Patient & Order Choices page. Harvest Webstation will
assign the Sample ID on the Order Samples: Sample Information page,
after you have selected the location and patient.
- If the workstation is set up to use the UNFORMATTED workgroup, then
you must manually enter a Sample ID for the order. It is up to you
to enter a valid ID; however, Harvest Webstation will not allow you
to duplicate Sample IDs if that option has been turned on in Preferences.
- If the workstation is AP-enabled, Harvest Webstation will assign the Sample ID based on the AP order choice type (Surgical, Cytology GYN, or Cytology Non-GYN). Different workgroups can be assigned to the various AP order choice types in Harvest. Note that orders with mixed types are assigned a Sample ID based on the order choice type of the first order choice in the order (i.e., whichever order choice is listed first in the Items to Order field).
IMPORTANT: Harvest Webstation will not allow you to use a Sample ID
format that includes the # sign. It will alert you to the problem, and
will not allow you to continue placing the order until the Sample ID
is changed.
- If you have the duplicate SID checking preference enabled in Harvest
for Harvest Webstation, then Harvest performs a check for duplicate
IDs as the Sample ID field is filled in.
- If you are using a sequence number in the Sample ID format and after
5 attempts it cannot find a non-duplicate entry, then Harvest Webstation
alerts you to that fact and will place the last Sample ID it attempted
to use in the Sample ID field.
- If you are not using a sequence number in the Sample ID format,
you will simply be alerted to the duplication.
You will not be allowed to continue placing the order until you change
the Sample ID to a unique number. When checked, this preference prevents
you from assigning two patients the same sample ID.
- Once the Sample ID is assigned, you may return to the Order
Samples: Patient & Order Choices page to modify the Sample
ID. Remember that the Sample ID is editable only if the workgroup Sample
ID format is UNFORMATTED, or if you have the necessary security access
to edit Sample IDs.
- If you change the Sample ID number or numbering sequence, or if you
are using the AUTOINCREMENT Sample ID format and the Sample ID sequence
number is not changed, then messages are sent to the event log in Harvest. You will not be able to remove those messages.
