This page appears when you click the ... or the New buttons to edit or add encounter information for the patient from the
Order Samples: Sample Information page.
You will receive an alert and not be able to add, edit, or delete encounter
information if another user is currently modifying the patient's record.
Adding a New Encounter
- Click the New button on the Order Samples: Sample Information page.
- Enter an Encounter ID for the patient.
- The Date Opened field will automatically be filled with the
current date and time. Modify these values as needed. Click Now to enter the current date and time.
- Enter or select the appropriate information for the encounter details:
- Admission Type: Select an option from the drop-down list to set the admission type and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest.
- Room Num: Enter the patient's room number, if applicable.
- Bed: Enter the patient's bed number or location, if applicable.
- Patient Class: Select an option from the drop-down list to set the patient class and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest.
- Patient Type: Select an option from the drop-down list to set the patient type and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest.
- Attending Provider: Select a provider from the drop-down list to indicate the provider responsible for the patient for the selected encounter.
- Referring Provider: Select a provider from the drop-down list to indicate the provider who referred the patient for the services included in the selected encounter. Harvest Webstation may display the value sent via the HL7 interface, if available.
- Consulting Provider: Click the ... button to open the Select Consulting Providers page, where you may select one or more Consulting Providers from the list. Mark the desired checkboxes and click the Save button to return to the Order Samples: Edit Encounter page.
- Admitting Provider: Select a provider from the drop-down list to indicate the provider who admitted the patient for the selected encounter.
- Financial Class: Select an option from the drop-down list to set the financial class and related host code for the patient. System Administrators may define the possible values in the Encounters table in Harvest. Harvest Webstation may display the value sent via the HL7 interface, if available.
- Make an entry in the Comments field if you want to provide
additional information with the encounter.
- Click Save to record your changes and return to the Order Samples: Sample Information
page, or click Cancel to return to the Order Samples: Sample Information page without saving
your changes.
Editing an Existing Encounter

Click the ... button on the Order Samples: Sample Information page.
- Edit the Encounter ID, Date Opened, or Comments
fields for the encounter, as desired. Click Now to enter the current date and time in the Date Opened field.
- Enter a date and time in the Date Closed field, if desired.
Click Now to enter the current date and time.
- Click Save to record your changes and return to the Order Samples: Sample Information
page, or click Cancel to return to the Order Samples: Sample Information page without saving
your changes.
Deleting an Encounter
- Select an encounter and then click the ... button on the Order Samples: Sample Information page.
- Click Delete to remove the encounter from the order.
- Harvest Webstation asks you to confirm the deletion.
- Click OK to delete the selected order choice and return to
the Order Samples: Sample Information page, or click Cancel
to return to the Sample Information page without deleting the encounter.
